Open Contacts. Two ways in:
- Import your existing list — export your customers from wherever they live now (your CRM, your booking or field-service app, your phone, or a spreadsheet) and drop that file in. Adapix reads CSV, Excel, and phone-contact (.vcf) files and figures out which columns are the name, phone, and email for you — no reformatting, no matching our template. It shows you what it matched before anything imports.
- Add one at a time — name, phone or email, and where they are with you (asked for a quote, missed an appointment, due for a visit).
The moment a customer is added, Adapix starts working: the first follow-up drafts immediately and waits in your Inbox for approval.

What happens when you import
- You choose whether to chase. A checkbox on the import asks if Adapix should start following up with these contacts, or just store them until you say so.
- First messages are rationed. Even with 200 imports, Adapix drafts at most 15 first messages a day, starting with whoever's been quiet longest. No flooded inbox, no spam-blast to your whole list.
- Re-imports don't duplicate. Contacts are matched on phone number (and your ID column if you have one) — importing the same file twice skips everyone who already exists.
- The notes column is gold. "Quoted $1,850 for water heater July 7, worried about cost" turns into a follow-up that names the job and the concern — the difference between a text that reads like a person and one that reads like spam.
Adapix remembers your customers
Every conversation teaches Adapix something about that specific person — a preference, a detail about their job, a concern they raised. It's remembered and used naturally in later conversations, so customers never have to repeat themselves.
- Contacts with something learned show a 🧠 badge next to their name in the list.
- Open a contact and expand the edit panel, or open their conversation, to see exactly what's been learned — each fact, with when it was learned.
- Anything wrong or outdated can be deleted with one click.
